This position plays a central role in the day to day operation of the CCAS business. You will manage office administration, coordinate communication between clients and technicians, and support operational workflows that keep jobs moving efficiently.
Working closely with management and the technical team, you will help maintain strong organisation, clear communication, and reliable systems across the business.
Key Responsibilities Client and office coordination
Manage incoming phone calls and emails, ensuring enquiries are handled promptly and professionally
Coordinate service bookings, technician schedules and client appointments
Maintain a welcoming and organised office environment
Support communication between clients, technicians and suppliers
Administration and documentation
Maintain accurate job files, registers and document control
Assist with preparing quotes, correspondence and service documentation
Manage follow ups, reminders and tracking of important actions
Oversee online shop inventory, product listings and product management
Coordinate order processing and fulfilment for online orders
Ensure internal systems, templates and records remain organised and up to date
Operational support
Assist with invoicing preparation, purchase orders and supplier coordination
Track work in progress and support visibility of job status across the team
Coordinate ordering of office and operational supplies
Identify opportunities to improve internal systems and streamline processes
About You
The successful candidate will bring strong organisational skills, attention to detail, and a proactive approach to managing office operations.
You will ideally have:
Experience in office management, senior administration, operations coordination or a similar role
Excellent organisational skills and the ability to manage multiple priorities
Strong communication skills and a professional approach with clients and suppliers
Confidence following up tasks and ensuring nothing falls through the cracks
A practical mindset with the ability to improve systems and processes
Strong computer skills and the ability to learn new systems quickly
