ABOUT ENERGY CLUB NT

Energy Club NT is a not-for-profit organisation supporting a diverse and evolving energy sector across the Northern Territory and Northern Australia. We provide a trusted platform that connects industry, government, service providers and stakeholders, helping initiate and sustain meaningful business relationships across onshore, offshore and emerging energy markets.

Our members form an active and well-established network, spanning local NT businesses through to major national and international operators. We bring people together in practical, informed and commercially focused ways, creating opportunities that support collaboration, capability development and industry growth.

This is delivered through a strong calendar of industry events, briefings, site visits and networking opportunities, supported by regular communications and ongoing member engagement. Working closely with industry, government and partners, Energy Club NT focuses on delivering genuine value through information sharing, access to decision-makers and outcomes that support innovation, local participation and economic development in the Territory.

THE ROLE:

In joining us you are stepping in to an active and engaged network of industry professionals with an expectation of delivering a high level of service and promoting our organisation's values.

We are seeking a self-motivated and adaptable individual to support the Energy Club NT's small, yet busy Team. We welcome applicants seeking full-time employment, noting the position requires flexibility to occasionally work outside of normal business hours to support events as needed.

The responsibilities of this role include all-round administration, event coordination, liaising with members, and provide support to coordinate the organisation's events and initiatives. Previous experience in administration, event coordination, communications and customer service focus will be highly regarded.

The successful applicant should be diligent with a sharp attention to detail and be able to engage with a diverse range of stakeholders and members confidently. KEY ACCOUNTABILITIES:

This role reports directly to the Chief Executive Officer and includes:

* Provide administrative and events support to the CEO and Energy Club NT team
* Support implementation of Energy Club NT objectives and initiatives as directed.

GENERAL ADMINISTRATION

* General day-to-day operational administrative support
* Answering and responding to member enquiries
* Maintaining electronic filing systems

EVENTS

* Event coordination including liaising with suppliers, sponsors with the ability to work flexible hours occasionally outside normal business hours.
* Manage and maintain event registrations, group bookings and invoicing
* Support and administer face to face and digital event planning, promotions and follow up.
* Ensure events and projects are complete within allocated budgets.
* Liaise with the team to prepare event materials including name tags, registration lists, table placements, sponsor marketing, event run sheets, delegate materials, slide packs, speaker information with a focus on accuracy and detail.

MEMBERSHIP

* Consistent member liaison and point of contact for general enquiries and offering professional and friendly customer service.
* Maintain critical membership and contact information in databases
* Process membership applications, approvals, and invoices and communicate with members to facilitate payments as directed
* Assist in the preparation and delivery of communications with members via phone, email, and CRM.

COMMUNICATIONS

* Assisting in collating information, newsletters, and communications to all stakeholders
* Support in social media content execution as directed
* Updating website content and marketing materials as required

QUALIFICATIONS AND EXPERIENCE

* Recognised qualification in business, event management, communications, or related field desirable
* Intermediate knowledge of Microsoft Office Suite including Word, Excel, and PowerPoint essential
* Intermediate knowledge of Adobe InDesign and other design suite products desirable

DESIRABLE SKILLS AND EXPERIENCE

* Strong administration experience
* Event coordination experience
* Highly organised professional with a positive demeanor
* High level of attention to detail
* Ability to problem solve and negotiate where necessary
* Marketing and communications support, graphic design experience
* Experience in using CRM, and communication platforms such as Mailchimp and Survey Monkey
* Strong time management skills with ability to work to tight and competing deadlines essential.
* Ability to anticipate and respond to stakeholder enquiries and member expectations.
* Well-developed written and oral communication skills including minute taking and coordinating of meeting follow up actions with attendees.
* Ability to liaise with professionals and senior stakeholders confidently.
* Outstanding experience working in a customer service environment.
* The ability to work collaboratively in a small team and autonomously.
