Location: Ringwood

Department: Maintenance (Remedial Division)

Job schedule: Full time, 42.5 hours per week, 8:00am – 5:00pm, Monday to Friday, Permanent

As a Remedial Coordinator, you'll be at the heart of our operations—planning, scheduling, and coordinating remedial works across multiple client sites. You'll take ownership of performance, safety, quality, and communication, ensuring every job is delivered on time, on budget, and to the high standards our clients expect. You'll be the key link between clients, engineers, subcontractors, and internal teams, confidently managing resources, parts, access equipment, and labour to keep everything running smoothly. Responsibilities

Efficient Remedial Workflow Management

* Ensure all remedial workflows are processed accurately, prioritised correctly, and progressed in line with service requirements.
* Maintain complete, up‐to‐date job records, ensuring all documentation, reports, photographs and communications are correctly stored and accessible.
* Escalate incomplete information, delays, or risks to delivery promptly to the Remedials Coordinator.

Commercial & System Accuracy

* Produce accurate remedial quotations, purchase orders, Computer Aided Facility Management (CAFM) records, and invoices that reflect works instructed, costs incurred and agreed commercial terms.
* Maintain accurate Work in Progress (WIP), HubSpot, and CAFM system data to support performance tracking, reporting, and decision‐making.
* Support cost control through effective supplier liaison, better buying, and tooling hire management.

Customer & Stakeholder Coordination

* Act as a professional point of contact for clients, engineers, subcontractors, and suppliers, ensuring clear and timely communication throughout the remedial lifecycle.
* Support positive client experience by providing updates, responding to queries, and helping resolve issues efficiently.
* Build strong internal working relationships to support smooth remedial delivery.

Operational Performance & Continuous Improvement

* Support the Remedials Coordinator in achieving service levels, KPIs, and departmental targets.
* Identify inefficiencies, recurring issues, or improvement opportunities within remedial processes and administration.
* Contribute to the sustainable growth and scalability of the remedials desk.

Compliance & Quality Assurance

* Ensure remedial works are processed in line with FORTH procedures, compliance requirements, and quality standards.
* Maintain confidentiality and accuracy of company and client information at all times.
* Support quality checks on documentation prior to invoicing and job close‐out.

Essential Skills, Knowledge And Capability Needed

* Strong administrative skills with attention to detail and accuracy.
* Ability to prioritise workload and manage multiple remedial jobs simultaneously.
* Confident use of CRM, CAFM, WIP tracking and document management systems.
* Commercial awareness when preparing quotations, purchase orders and invoices.
* Professional, client‐focused communication skills.
* Proactive, solution‐focused mindset with a willingness to challenge inefficiency.
* Ability to work effectively in a fast‐paced, high‐volume operational environment.
* Team‐focused approach with a commitment to continuous improvement.
