About the Position
As an Executive Assistant, you will provide the highest standard of and comprehensive executive, administrative and coordination support to the Chief Operating Officer/Branch Manager, Corporate and Enabling Services and Branch Manager, Programs and Services. The role maintains excellent working relationships internally and externally, liaising with a diverse range of people while maintaining a high level of professionalism. The position requires a proactive approach, the ability to exercise judgement and discretion, and the ability to manage competing pressures and time demands.

Duties and Tasks
As an Executive Assistant you will:
* Provide high level executive and administrative support to two Branch Managers (SESB1).
* Demonstrate excellent diary management skills, with the ability to coordinate workflows and identify any issues or matters that require urgent action.
* Prepare and quality assure a range of written content such as minutes, emails, letters, meeting briefs and presentations.
* Collaborate with staff across the agency, including with other Executive support staff (EAs, EO) and teams within each branch, to support your Executives to deliver tasks and meet deadlines.
* Provide high level secretariat and administrative support to branch-led committees and meetings as required.
* Organise travel and prepare complex travel itineraries, arrange and coordinate meetings, conferences, and workshops as required.
Required Skills and Knowledge
Skills and knowledge required for this role:
* Excellent organisation and coordination skills, with the ability to work under pressure and meet competing priorities with autonomy.
* Highly developed administration skills, high level of attention to detail and skilled in the use of MS Office.
* Excellent written and verbal communication and liaison skills, with the ability to build and maintain productive working relationships with a broad cross section of stakeholders, including academia.
* Initiative in researching, analysing, planning and reviewing tasks is vital in assessing the activities critical to meeting the needs of the Branch Managers.
* Ability to problem solve, exercise judgment, work with discretion, and maintain confidentiality.
* Proven time management skills, ensuring all tasks are undertaken and delivered at a high quality and on time.
Our Ideal Candidate
You will have proven experience as an Executive Assistant to Senior Executive staff in an APS environment. Highly developed diary and email management is imperative. You are exceptionally reliable and dedicated to ensuring your Branch Managers run on time and all deliverables are met.
You play an important representative role on behalf of your Branch Managers. You are first point of contact for the branches and pride yourself on your professionalism as well as being personable to all stakeholders, including ARC and APS staff and people from academia.
You will be a self-starter who can be entrusted to use good judgement in organising the Branch Manager’s workload and escalating issues. You are resilient to change and can cope effectively in high pressure situations to fulfil the expectations of the role.

About our team
The Corporate and Enabling Services Branch and Programs and Services Branch are dynamic Branches that report into the Deputy Chief Executive Officer. These Branches are responsible for agency-wide functions and ensure the ARC runs effectively and smoothly. The team is supportive, collaborative and always eager to learn and grow.
The Corporate and Enabling Services Branch exercises functions such as Finance, Business Systems and Operations, Legal and People and Capability. The Programs and Services Branch administers the ARC’s grant services and client services.
