APPENDIX "A" – Scope of Services / Terms of Reference / Job Description
The Sales and Marketing team is responsible for maintaining the Employer's positive profiles with the goal of delivering strong sales through positive customer experiences and successful marketing.
The Sales and Marketing Coordinator will be responsible for marketing and sales duties pertaining to all companies within the Employer's group, including but not limited to Prince of Whales, North Island Kayak, and Sea Vancouver.
As a team member, you will work closely with the Sales Manager, Marketing Manager, and other team members throughout the company to support, strengthen & develop our efforts.
This position will include travel to and from various locations as assigned, including but not limited to the Vancouver Island North region, Victoria, and to trade show locations as needed.
For the Sales and Marketing Assistant to be successful, the following duties must be completed to the satisfaction of the Sales Manager and Marketing Manager, but are not limited to the following:
Duties and Responsibilities
Provide Assistance to the Marketing Manager & Sales Manager with Daily Operations and Project-Based Support
Contribute to social media management
Support graphic design task when related to the creation of newsletters, blogs, flatsheets, ads and any other sales or marketing selling material
Coordinate and liaise with Industry Stakeholders, including OTAs, Wholesale/B2B Partners, Charter Clients, Media Representatives and other relevant partners as needed
Assist with FAMs, media planning, and influencer collaborations as needed
Content management help, including blogs, newsletters, and North Island Kayak communications
Affiliate Program
Review and Process Donation Requests
Track and report sales generated through commissionable partners, including hotels, affiliates, and other travel industry collaborators
Attend trade shows, mixers, webinars, marketing activations and other industry events and represent Prince of Whales, Sea Vancouver and North Island Kayak.
Assist with event setup, breakdown, appointments, follow-ups and logistics coordination
Assist with Custom & Corporate Charters, including Site Visits, as assigned
Refresh agents & resellers with knowledge of products/tours on a regular basis
Deliver hotel commissions and promotional materials within Victoria and Vancouver
Liaison with hotel concierges and front-line hotel team members
Assist with event setup, breakdown, and logistics coordination
Respond directly for commission cheques
Manage the Agent Login Platform
Conduct outbound outreach to prospects to generate new business opportunities and maintain current business relationships
Deliver hotel commissions and promotional materials as needed
Liaison with hotel concierges and front-line hotel team members / Liaise with hotel concierge networks
Represent the brand professionally during product presentations, meetings, conferences, marketing activations, trade shows and mixers
Engage with customers to provide product knowledge and promote offerings
Manage reports
Sustainability & Community
Maintain and update progress on the Biosphere platforms for all locations, including the North Island Kayak Account
Update sustainability communication materials (website, signage, newsletters) to reflect ongoing initiatives
Participate as a member of the Sustainability Committee, help plan and implement sustainability-related initiatives, and represent the company at sustainability events and community engagements as needed
Required Skills
Proficiency with Word, Excel, and the Microsoft Suite
Working knowledge of the Adobe Suite, especially in regards to Photoshop, Illustrator, and Premiere Pro
Working knowledge of the Google Workplace Suite
Familiarity with social media platforms including but not limited to Meta, Instagram, YouTube, TikTok, Pinterest, LinkedIn
This is a full-time, in-office position based on 40 hours of work per week.
