Accounts & Talent Payments Coordinator

Evolution Management Co.

Position Overview

We are seeking a highly organised and detail-oriented Accounts & Talent Payments Coordinator to support the day-to-day financial administration of our talent management operations. This role is responsible for managing talent payments, invoicing, commission processing, payment schedules, and financial tracking across local and international bookings.

The ideal candidate thrives in a fast-paced environment, has exceptional administrative and financial coordination skills, and can confidently manage multiple systems, spreadsheets, and stakeholder communications with accuracy and efficiency.

Key Responsibilities
Talent & Client Invoice Management
* Prepare and issue invoices to clients in a timely manner
* Manage client remittances and reconcile incoming payments
* Process and manage invoices received from talent via Dext
* Coordinate and process talent invoice payments
* Issue talent commission receipt invoices
* Manage talent superannuation payments for gig work via Australian Super and SBCH portals
* Operate and manage Employment Hero payroll system.
Commission & Payment Administration
* Create and send commission forms to talent
* Collect signed commission documentation and maintain accurate records
* Input and manage payment schedules within Ezidebit and Dext
* Manage and track invoices relating to overseas commissions
* Monitor and manage weekly payment schedules, including failed payment follow-up actions
* Respond to and manage exchange rate queries relating to international payments
* Coordinate and manage payment pauses due to injury, contract changes, or other circumstances
Skills & Experience Required
* Previous experience in accounts administration, bookkeeping, payroll, or financial coordination
* Strong attention to detail and high level of accuracy
* Advanced spreadsheet and data management skills
* Experience using Dext, Ezidebit, Employment Hero, Xero, or similar financial platforms is highly desirable
* Ability to manage multiple deadlines and prioritise effectively
* Strong written and verbal communication skills
* Ability to handle confidential financial information professionally
* Proactive problem-solving skills and strong follow-through
