The key duties of the position include
The Role
Your role as an APS 5 Administration Officer within the Industry Engagement Division Business Management Team will involve a variety of activities, including:
General Administration and Coordination
* Providing assistance and performing moderately complex tasks supporting administrative and business activities across the Division.
* Identifying system faults, monitoring progress, and communicating issues to staff; maintaining related databases.
* Escorting visitors and contractors occasionally, including outside of regular hours.
Workforce Planning
* Collaborating with Corporate teams to onboard and offboard personnel and facilitate inductions for new starters.
Governance & Assurance
* Managing assets for the Division, including maintaining the Assets Register.
Workplace Health and Safety
* Supporting staff in WH&S management, reporting issues or incidents, and communicating with managers and staff.
Emergency Management
* Maintaining a register of Emergency Control Organisation appointments and monitoring training.
Communication
* Collecting and analyzing data and information.
* Preparing correspondence, reports, minutes, and managing communication channels.
* Sharing knowledge within internal networks and communities of practice.
* Advising on processes and procedures.
* Monitoring and prioritizing emails in team mailboxes.
Finance and Procurement
* Supporting Contract Managers with low-value, low-complexity activities using Defence systems.
* Carrying out simple procurement tasks and communicating with suppliers.
Records Management
* Performing data control and remediation tasks in the absence of the Records or Business Managers.
* Supporting the Division through collaboration with Workgroup Coordinators.
Security
* Understanding and applying Defence security requirements.
* Assisting staff with security logistics and requirements, including SES members.
* Coordinating security logistics related to staff onboarding and offboarding.
