Position Summary:
The Stock Controller for the Warehouse is responsible for overseeing the full lifecycle of stock, ensuring accurate inventory management, and maintaining seamless integration with online sales channels. This role is critical to ensure stock is accurately tracked, transferred, and reconciled at all times.
Key Responsibilities
Carnival Stock Management
Prepare, pick, and transfer stock to the appropriate holding warehouse (NSW or QLD) in preparation for events.
Conduct physical counts and ensure all stock is barcoded accurately.
Maintain visibility of stock locations in MYOB and prevent stock from being sold online while at carnivals.
Transfers & Inventory Control
Complete transfers of stock in and out of holding warehouses using the mobile app.
Scan and record all stock quantities accurately, ensuring the system reflects physical counts.
Export and save transfer records to designated folders on the S-drive for audit purposes.
Investigate and reconcile discrepancies, reporting missing or damaged stock to the Operations Manager and Executive Administrator.
Create sales orders for each carnival based on stock sent and returned.
Apply payments correctly in MYOB for each carnival event.
Generate invoices within 48 hours of stock return, ensuring proper allocation to QLD or NSW carnival accounts, salesperson, and subaccount.
Maintain accurate records of cash, card, and EFTPOS sales, and provide reporting to Accounts Receivable.
Count and scan all remaining stock back into the main warehouse.
Adjust inventory for missing, damaged, or given-away stock, providing detailed explanations.
Ensure giveaways are only processed with executive approval and properly recorded in Square.
Stock Accuracy & Online Integration
Maintain accurate stock levels in the system to ensure correct online availability.
Monitor and manage stock movements to prevent discrepancies between physical inventory and online listings.
Process Improvement & Compliance
Follow the structured Carnival Stock Management Process to maintain accuracy and streamline operations.
Identify opportunities to improve processes and recommend solutions to management.
Key Skills & Attributes
Strong attention to detail and high level of accuracy in inventory management.
Experience with MYOB or similar ERP/inventory systems.
Ability to manage multiple tasks and priorities under strict timelines.
Strong organizational and record-keeping skills.
Effective communication and teamwork skills, including liaising with carnival staff and the executive team.
Proactive problem-solving mindset and ability to investigate discrepancies.
Qualifications
Previous experience in inventory management, logistics, or stock control preferred.
Experience in retail or event-based stock management is a plus.
