The Role
We are seeking dynamic and collaborative APS 4 Executive Assistants (EAs) with experience in providing executive support. These roles require strong communication and organisational skills, along with the proven ability to proactively manage competing priorities.
Successful candidates will undertake work that meets the needs of one or more SES and operate under minimal supervision, exercising initiative and judgement in applying policies and procedures.
An Austrade-only merit pool will be created from this recruitment to fill similar vacancies that may arise over the next 18 months from the date of advertising.
Duties Include
1. Managing SES schedules and emails, highlighting priority matters to the SES and/or their Executive Officer.
2. Managing travel bookings, approvals, and itineraries for the SES.
3. Coordinating meetings on behalf of the SES, including distributing meeting papers as required.
4. Ensuring adherence to corporate policies and fostering a culture of compliance within the Division or Group.
5. Effectively liaising with internal and external stakeholders, demonstrating professionalism and good judgement at all times.
6. Developing and maintaining effective internal and external working relationships through strong communication skills.
7. Preparing relevant briefings for the SES ahead of meetings.
8. Maintaining confidentiality and privacy of the Agency’s business matters.
9. Performing front-of-office support functions, including setting up meeting rooms and greeting visitors.
10. Working independently with minimal supervision, including providing remote support when required (e.g., during SES travel).
11. Assisting with other project-based work as needed, at the direction of the SES.

Eligibility
* Australian citizenship – the successful candidate must be an Australian citizen.
* Security clearance – the successful candidate must hold or be able to obtain and maintain at least a Baseline security clearance.
