**Executive Assistant to the Lord Mayor**
- **$51.41 per hour + super**:

- **Immediate start - Initial 4 month contract with view to extend**:

- **Parramatta location/1-2 days a week from home once trained**:
**About the Role**:

- This position is responsible for a full range of confidential secretarial, correspondence, administrative and support services to enable the effective use of time, to manage relationships with the Councillors, Chief Executive Officer and Directors, key stakeholders including Government Ministers and the effective management of the Lord Mayor's office.

**Responsibilities include**:

- Support the Lord Mayor in meeting management and external needs through maintenance of systems and databases to track and follow-up Council and Lord Mayor meeting requests, invitations, correspondence and replies, conduct research, documentation and preparation of summaries, briefs and correspondence
- Communicate daily with the Lord Mayor on diary, work and travel planning and research, communication and documentation requirements
- Prepare spread sheets, presentations and maintain databases for the Lord Mayor
- Respond to and facilitate resolutions to enquiries and correspondence from Ministers, State and Federal, Community Groups and residents
- Arrange and facilitate conferences as requested by the Lord Mayor, including venue hire, catering, and accommodation for conference delegates (when required)
- Liaise with other Government agencies to coordinate activities associated with conferences and/or Lord Mayor related meetings

**Skills & experience**:

- To be successful, you ideally would have:

- Previous experience in an Executive Assistant or Executive Support role
- Demonstrated high level interpersonal and communication (written and oral) skills with an ability to build effective working relationships with a variety of stakeholders
- Ability to prioritise and undertake simultaneous duties/projects to deliver successful outcomes while maintaining a high standard of professionalism
- Well-developed organisational skills, including the ability to work independently and manage time effectively
- Highly proficient with demonstrated experience in programs such as Office 365, Zoom, Teams, Sharepoint, One Note etc.
