AU SERVING PTY LTD We are seeking a detail-oriented Contract Administrator to manage and coordinate contracts and service agreements supporting AUSERVIN’s operations in removalist/moving and cleaning services. The role ensures customer jobs, supplier/subcontractor engagements, and procurement activities are documented, compliant, cost-controlled, and delivered in line with agreed scope, timelines, and quality standards.
Working closely with management, scheduling teams, and service crews, the Contract Administrator supports smooth job delivery by overseeing contract documentation, variations, invoicing, and supplier performance while ensuring alignment with relevant regulations and workplace policies. Coordinate contract set-up from acceptance to completion, ensuring scope, inclusions/exclusions, pricing, and service timelines are clearly documented.
Manage quotes, purchase orders, and supplier/subcontractor agreements, ensuring correct approvals and adherence to company procedures. Track and process contract variations (e.g., changes to schedule, scope, access requirements, materials/equipment), ensuring accurate documentation and customer confirmation. Maintain accurate contract records including insurance documentation, compliance forms, invoices, and supporting evidence (job completion notes, checklists, photos, etc.).
Support scheduling and operations by confirming contractual requirements such as site access, special handling instructions, equipment needs, and service deliverables. Assist with procurement administration for operational needs (e.g., packing materials, consumables, cleaning supplies), ensuring cost control and timely supply. Coordinate invoicing and payments, reconciling contract rates, variations, and job completion evidence to ensure accurate billing and reduced disputes.
Monitor service delivery compliance with agreed terms and help resolve contract-related issues, claims, or disputes in a professional and timely manner. Liaise with customers, suppliers, and internal teams to ensure clear communication of contractual obligations and deliverables. Support compliance with relevant workplace policies and regulatory requirements, including WHS expectations and service standards.
Contribute to continuous improvement by maintaining templates, improving admin workflows, and ensuring consistent documentation quality. Qualification & experience Relevant qualification in Business Administration, Contract Management, or equivalent, or demonstrated industry experience in contract administration. Minimum of 2 years’ experience in contract administration, procurement administration, or operations administration (service-based industry preferred).
Strong ability to draft, interpret, and manage contracts, service agreements, scopes, and variations. High attention to detail with strong document control, record-keeping, and organisational skills. Excellent communication skills with the ability to liaise professionally with customers, suppliers, and internal stakeholders.
Competency with Microsoft Office (Word/Excel/Outlook) and confidence learning job management or CRM systems. Sound understanding of commercial terms, invoicing processes, and basic cost control principles. Ability to work independently, manage competing priorities, and meet deadlines in a fast-paced operational environment.
Understanding of workplace health and safety expectations in service delivery environments (construction/site access awareness is an advantage).
