About the role:
We're looking for an Administration Assistant to support the centre management team with the day-to-day operations that keep a busy shopping centre running smoothly.
This isn't a typical desk-based admin role. You'll split your time between the office and the floor - completing centre walks, connecting with tenants and contractors, then coming back to action what you've captured. One hour you're walking the centre chatting with a tenant about their fit-out, the next you're processing invoices, then you're coordinating a contractor arrival. No two days look the same.
It's a role that combines administration with facilities coordination, giving you broader exposure and dual skill development that most admin positions simply don't offer. You'll work directly with the Centre Manager and Facilities Manager, alongside concierge and marketing teams on site, with support from head office colleagues.
What you'll do:
* Complete daily centre walks to monitor trading, presentation and safety, capturing issues and tenant requests for follow-up
* Act as the first point of contact for tenants and contractors, logging requests and ensuring nothing falls through the cracks
* Raise purchase orders, process invoices, and maintain accurate records for reporting
* Coordinate contractors on site by managing inductions, checking documentation, and ensuring works are completed to standard
* Prepare daily and weekly operational reports including foot traffic, sales data, and arrears tracking
* Support compliance activities including incident logging, safety training coordination, and inspection scheduling
What you'll bring:
* Solid administration or coordination experience in fast-paced environments - you might be coming from hospitality, property management, commercial agencies, or facilities roles. Shopping centre experience helps but isn't required.
* Strong Excel skills and confidence learning new systems independently
* Clear, professional communication with the ability to build relationships with tenants, contractors and internal teams
* Strong organisational ability and the capacity to juggle competing priorities without losing accuracy
* A calm head when pressure hits and a genuine team-first attitude
