The Role

The Enterprise Resource Planning (ERP) Division is seeking a high performing and motivated individual to work as an Administration Officer within the ERP Enabling Services Directorate. The role requires sound judgement, adaptability and a proactive approach to support effective governance, coordination and collaboration across a range of stakeholders, contributing to the successful delivery of strategic objectives.

About our Team

The Enterprise Resource Planning (ERP) Program is a major Defence transformation program that sits within the Defence Digital Group and is a key enabler of the One Defence reform agenda. The Program will eliminate hundreds of complicated and unnecessary structures, processes, systems and tools, and replace them with a new ERP solution that will provide a single, trusted source of accurate, near real-time information that will change the way Defence operates.

The ERP Enabling Services Directorate ensures the seamless organisational functionality, overseeing ERP operational activities, which contribute to the success of the Division and the overall ERP capability. We are a centralised hub consisting of experienced professionals with a deep understanding of program management, governance, compliance and business planning.

We manage essential functions to streamline business operations ensuring consistent and aligned messaging, simplified workflows, adherence to Defence and Defence Digital Group processes and quick resolutions.

Our Ideal Candidate

The ideal candidate will:

* Assist in the development, preparation and end to end coordination of executive and parliamentary submissions, ensuring accuracy, quality and compliance with required standards and timeframes.
* Provide high quality secretariat support to key governance forums, including meeting coordination, agenda development, and the preparation of clear, accurate and timely meeting minutes.
* Coordinate and prepare reporting requirements, ensuring accuracy, timeliness and alignment with governance, assurance and executive reporting obligations.
* Proactively support a busy forward work plan through effective planning, prioritisation and time management to meet multiple demands and deliver milestones on schedule.
* Think strategically and solve problems, demonstrating sound judgement, strong analytical capability, initiative and the ability to manage issues as they arise.
* Build and maintain effective working relationships through strong stakeholder engagement, managing expectations and addressing concerns in a professional and collaborative manner.
* Analyse, interpret and assess submissions and documentation to ensure compliance with policy, legislative and governance requirements.
* Manage competing priorities with flexibility and resilience, adapting to changing priorities and tight deadlines.
* Demonstrate excellent written and verbal communication skills across a range of channels, with a strong focus on quality assurance, attention to detail and meeting stakeholder needs and expectations
Eligibility

Security Clearance:

Applicants must be able to obtain and maintain a security clearance at “Negative Vetting Level 1”.
