About Us
Operation Smile Australia is part of a global network spanning over 60 countries dedicated to improving the health and lives of children through safe, free craniofacial surgery and comprehensive care. We also work to build long-term self-sufficiency by training local health workers, donating medical equipment, and supporting year-round treatment in low- and middle-income countries.
Every three minutes, a child is born with a cleft condition. Without treatment, most don't survive to adulthood. With your help, we can change that.

The Opportunity
We are expanding our reach and impact—and we're seeking a skilled, friendly, and motivated Philanthropy & Operations Coordinator to assist with the delivery of fundraising campaigns, events, marketing, communications, international program logistics, and executive administration.
In this full-time role (flexible hours considered), you'll work across multiple areas of the organisation, reporting directly to the CEO and supporting the wider leadership team including our Philanthropy and Programs Managers.

What You'll Do
Marketing & Fundraising Support
* Assist in developing creative briefs, digital content, and marketing assets
* Coordinate event logistics, supporter recognition & communications, and media liaison
* Manage and maintain databases, toolkits and systems including CRM
* Contribute to donor campaigns, brand awareness and advocacy initiatives
Program & Operations Coordination
* Support logistics for international medical programs (volunteer management, travel, documentation)
* Support post-program reporting, evaluation, and communications
Executive & Administrative Support
* Provide confidential assistance to the CEO where needed
* Assist with Board and subcommittee coordination, papers, and minutes
* Maintain a high level of discretion and professionalism when handling sensitive matters

Your Skills & Experience
Essential:
* Prior experience in administration, events, marketing, or fundraising
* Excellent written and verbal communication skills
* High-level organisational and project management skills
* Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
* Ability to handle confidential information professionally and reliably
* Self-motivated, adaptable, team player
Desirable:
* Not-for-profit or charity sector experience
* Familiarity with NFP CRM platforms
* Event coordination or donor engagement background
* Knowledge of cleft/craniofacial care, global health, or medical volunteerism
* Design or social media experience (basic)
