Your new role
An exciting opportunity is available for an experienced Project Administrator to join a growing organisation delivering complex programs within the Defence sector. This role is suited to a highly capable administrator who thrives in structured, fast‐paced project environments and enjoys working across multiple stakeholders to support successful project delivery.
In this role, you will provide high‐level project administration and coordination support, including:
* Maintaining project schedules, budgets, tracking tools, and reporting documentation
* Managing project documentation and document control processes (including formatting, tracking, and archiving)
* Supporting procurement activities, including sourcing quotes and raising purchase orders
* Coordinating supplier risk management activities such as profiling and evaluations
* Managing project assets within ERP systems, including export‐controlled items
* Ensuring compliance with IP and Export Control requirements across project documentation
* Producing key project deliverables including reports, plans, and documentation
* Liaising with customers, suppliers, and subcontractors as required
* Identifying process improvements and streamlining administrative workflows
You will also support broader project operations through:
* Maintaining data in systems such as SharePoint, Jira, and other project tools
* Coordinating meetings, agendas, and minutes
* Assisting with finance administration (e.g. reconciliation support)
* Supporting onboarding and induction processes
What you'll need to succeed
* Strong experience in project administration within complex or technical environments
* Strong capability managing project budgets, cost tracking, and financial reporting
* Confidence supporting financial processes including purchase orders, invoice tracking, and reconciliation activities
* High level understanding of project cost control, forecasting, and commercial awareness
* A high‐level understanding of the project lifecycle and project delivery frameworks
* Advanced proficiency across Microsoft Office (Excel, Word, PowerPoint, Project, SharePoint)
* Excellent organisational skills with the ability to manage competing priorities
* Strong attention to detail and accuracy
* Highly developed written and verbal communication skills
* Minimum 5 years' experience in project administration, or 3+ years with relevant business qualifications
* Experience working within engineering, technical, or Defence projects highly regarded
* Ability to work in a structured, compliance‐driven environment
* Security Requirement
o Must hold, or be eligible to obtain, an Australian Defence Security Clearance (NV1 or baseline clearance)
