Materials Management Officer

We at East Suffolk & North Essex NHS Foundation Trust are seeking a highly motivated Materials Management Officer to join our team on a permanent contract, based on-site at Ipswich Hospital. The successful candidate will demonstrate a high standard of professional conduct, alongside strong logistical and organisational skills, to support the efficient management of materials and supplies.
The role requires an individual who is well versed in IT applications, including procurement systems, inventory management tools, and standard office software, enabling accurate reporting, effective stock control, and informed decision-making. As an effective communicator, the post holder will liaise confidently with internal stakeholders, suppliers, and external partners, ensuring clear, timely, and professional communication at all levels. This position involves both mental and physical demands, requiring sustained concentration, problem-solving, and attention to detail, as well as the ability to undertake practical tasks such as stock handling, movement of goods, and supporting day‐to‐day logistical operations. The ideal candidate will be detail‐oriented, systems‐savvy, and able to balance operational pressures with compliance, safety, and best practice.
Main duties of the job
* Responsible for provision of a support services to users of the new Inventory Management Systems (IMS) ensuring stock usage is captured and all orders are processed in a timely manner, following all Trust policies and procedures and Health and Safety requirements.
* The adoption of a flexible approach towards any supplies activities undertaken and a requirement to provide support where it is required on a daily basis including but not limited to:
o Delivering stock to multiple locations across the site
o Receipting goods into the IMS
o Supporting ordering by stores persons
o Assisting operating theatres teams in the capture of implants at point of care
* The operation of a range of tasks with a requirement for working in different locations throughout the Trust.
* Responsible for effective communication in both person, written format or by e‐mail, and respond to urgent telephone and bleep requests taking appropriate action, to ensure, timely and appropriate communications with all stakeholders including Trust colleagues, NHS Supply Chain, and Suppliers to the Trust and their company representatives.

Qualifications
* GCSE grade 5/C or equivalent in English and Maths
* NVQ level 3 in administration/secretarial or equivalent experience
Experience
* Previous administrative/operational role
* Working collaboratively as part of a team
* Advanced IT Systems including - Microsoft Office
* Experience of communicating with a range of people both within and external to the organisation
* Experience of working with P2P systems and relevant e‐replenishment systems
* Awareness of the importance of Health and Safety relating to work and the need for Confidentiality in a hospital setting
* NHS experience
* Experience within relevant work areaExperience of working with members of the public
* Supervision/co‐ordination of other team members
