We are seeking a highly organised and customer-focused Ice Rink Administrator/Coordinator to join the team at Phillip Swimming & Ice-Skating Centre. About the Role
The Ice Rink Administrator/Coordinator plays a key role in ensuring the smooth day-to-day operation of the ice rink. This position requires exceptional organisational skills, strong communication abilities, and a commitment to delivering outstanding customer service.
While this is primarily a Monday to Friday role, flexibility is essential. Some early mornings, evenings, and occasional weekend work may be required to support operational needs.
Key Responsibilities
* Coordinate and manage all internal and external ice time bookings, including liaising with stakeholders, managing frequent schedule changes, and communicating updates effectively.
* Manage and maintain the shared enquiry inbox, responding to a wide range of enquiries including invoicing, ice scheduling, group bookings, and general information requests.
* Provide friendly and efficient customer service at the ice skating rink ticket booth.
* Operate a computerised POS system for ticket sales, including accurate cash handling and reconciliation.
* Process and manage invoices with accuracy and efficiency.
* Plan, create, and manage employee work schedules to ensure appropriate staffing coverage and compliance with employment requirements.
* Manage day-to-day staff allocations, respond to last-minute roster changes, and act as the primary contact for shift-related queries.
* Oversee and coordinate “Skate School” administrative requirements.
* Liaise closely with the Operations Manager to ensure smooth daily facility operations.
* Provide comprehensive administrative support to the Operations Manager as required.

* Have experience with rostering and scheduling (desirable)
* Be competent using Microsoft Office and computerised systems
* Show initiative and the ability to work both independently and as part of a team
* Have flexibility in availability to meet operational requirements
Requirements
* A current Working With Vulnerable People Check (WWVC) and First Aid Certificate are preferred.
* If not currently held, the successful applicant must be willing and able to obtain them.
