Senior Office Administrator / Office Manager

The Role
Reporting to the Operations Manager, this position will see you supporting the team and business in administrative tasks, as well managing the day-to-day operations of the new Perth office.
Responsibilities:
Office Management
Leading day-to-day office operations, including facilities management & reception duties.
Acting as first point of contact for our clients and visitors, representing Pitch Black with professionalism.
Implementing and improving office management systems, processes, and workflows.
Coordinating meetings and meeting room bookings.
Managing office purchasing, vendors, mail, and general supplies.
Onboarding new staff and fostering a professional, collaborative, and welcoming office culture.
Undertaking office WHS duties including but not limited to first-aid and emergency response.
Business Administration
Supporting leadership and project teams with administration, document control, and reporting.
Answer and redirect business calls and emails.
Manage team communications and events.
Organise and manage team and project travels.
Provide guidance to team members on business processes and workflows.
Document Control and Management
Contribute to general document formatting and quality checks of business and project documents.
Prepare document transmittals for projects.
Manage incoming and outgoing document transmittals and records.
Project Administration and Finance
Assist Project Managers for invoicing and billing.
Assist Project Managers with updating project registers and stats for business reporting.
About You:
6+ years of experience in a senior administrative or business support role—experience in professional services or engineering is a bonus.
Intermediate to advanced Microsoft Office skills in Word, Excel, PowerPoint and Outlook.
Basic understanding of document control principles would be beneficial.
Experience in project administration and finance ideal.
A self-starter who thrives on autonomy and can prioritise tasks effectively.
Strong communication and interpersonal skills—you'll be interacting with clients, leadership, and team members daily.
Tech-savvy, highly organised, and comfortable learning new systems and processes.
Flexible, adaptable, and ready to roll up your sleeves in a growing, evolving environment.
