We are seeking an experienced and reliable Administration & Reception Manager to oversee the day-to-day administrative and reception operations of the practice and ensure the smooth running of the clinic.
About the Role
This role is responsible for managing the reception and administrative functions of the practice, supervising reception staff, coordinating patient bookings and billing, and ensuring the practice operates efficiently on a daily basis.
This is a key role within the practice and would suit someone with previous experience in a medical practice or healthcare administration who is organised, professional, and able to work independently.
Key Responsibilities
* Oversee the day-to-day running of reception and administrative operations
* Supervise and support reception staff
* Prepare and manage reception staff rosters
* Oversee appointment scheduling and patient flow
* Manage patient enquiries and complaints in a professional manner
* Oversee Medicare billing, private billing, and EFTPOS reconciliation
* Monitor outstanding accounts and follow up where required
* Liaise with IT providers, suppliers, and service providers
* Order and manage medical and office supplies
* Assist with accreditation and compliance requirements
* Report administrative or operational issues to the Practice Director
* Ensure a high level of customer service is maintained at all times
Skills and Experience
* Previous experience working in a medical practice or similar healthcare setting
* Knowledge of Medicare billing and claiming
* Experience using medical software (e.g., Best Practice, MedicalDirector) preferred
* Strong organisational and time management skills
* Ability to supervise staff and manage a team
* Excellent communication and problem-solving skills
* Professional, calm, and reliable
* Ability to work independently and take initiative
