About the Role
Are you organised, friendly, and love helping people? We're looking for a Practice Administrator to join our welcoming team and be the first point of contact for our families. You will play a vital role in providing a warm welcome and being a reliable source of information about our services. You will work within a team of administrators, supporting our therapists in a fast-paced environment.
This is a part-time opportunity (between 1 and 2 days per week) working to support our Allied Health team at our clinic in Wembley.
Key Responsibilities
* Meeting and greeting families
* Answer phones and manage messages professionally
* Schedule and reschedule appointments efficiently.
* Manage client check-ins and ensure smooth front desk operations.
* Maintain a tidy and welcoming reception area.
* Oversee room bookings to ensure efficient therapy sessions for our families
* Support therapists to manage appointments and diaries
* Process invoices and take payment for services (cash, NDIS invoicing, EFTPOS, HICAPS, Medicare)

What We're Looking For:
* Excellent communication and interpersonal skills.
* Strong organisational skills and attention to detail.
* Ability to multitask in a busy environment.
* A positive attitude and commitment to great customer service.
* Previous reception experience (healthcare experience a bonus).
Qualifications
Essential Criteria:
* Allied Health Administration/Reception experience
* Familiarity with Microsoft Teams and Excel
* First Aid Certificate, WWC Check, NDIS Worker Screening, and Police Clearance (or willingness to obtain)
Desirable:
* Zanda (or similar Case Record Management and calendar management) experience
