The Albany Agricultural Society Inc is a long-standing not-for-profit organisation dedicated to supporting agriculture, community connection, and delivering iconic local events including the Albany Agricultural Show. We are seeking a motivated and organised Administration & Events Support Officer to join our team in a varied and rewarding part-time role.
This position is ideal for someone with strong bookkeeping and administration skills who enjoys working in a community-focused environment and contributing to major local events.
About the Role
Reporting to the Administrative & Event Coordinator, this role provides essential bookkeeping, office administration, and event support to ensure the smooth day-to-day operations of the Society.
You will play an important role in maintaining accurate financial records, supporting members and stakeholders, and assisting with the planning and delivery of events.
Key Responsibilities
Bookkeeping & Finance
* Maintain and update financial accounts and records
* Prepare and issue invoices and monitor payments
* Reconcile accounts and ensure accuracy of financial data
* Maintain organised financial and administrative filing systems
* Assist with preparation of financial reports and audit/AGM documentation
Administration Support
* Manage emails, phone enquiries, scanning, filing, and document preparation
* Provide professional front-of-office support
* Help maintain an efficient and welcoming office environment
Events Support
* Assist in the coordination and delivery of the Albany Agricultural Show and other Society events
* Provide administrative support for event planning and operations
General
* Undertake additional duties as directed by the Administrative & Event Coordinator
About You
To be successful in this role, you will have:
Essential Skills & Experience
* Experience in bookkeeping or financial administration
* Experience using Xero accounting software
* Strong attention to detail and accuracy
* Excellent organisational and time management skills
* Ability to work independently and as part of a team
* Strong communication and interpersonal skills
* Proficiency in Microsoft Office (Excel, Word, Outlook)
Desirable
* Experience in event coordination or community organisations
* Experience with social media or basic marketing
* Experience using Square POS
* Understanding of not-for-profit organisations
