The opportunity
We are seeking a highly organised and detail-oriented part-time Administration Officer to join our team and play a key role in ensuring the smooth running of our day-to-day operations.
Working closely with the Approved Provider and Director, you will help manage enrolments, support families, maintain accurate records, and keep administrative processes on track.
Weekly hours of the role are between 20-25 and can be flexible across days.. Your days will be varied and rewarding — from welcoming families and managing accounts to coordinating communications and ensuring compliance with our quality standards.
Key role responsibilities:
The role will involve reception duties, overseeing all admin functions and assisting with operations where required.
* Answering the phone and attending to parent queries as required
* Managing all enquires through the CRM, including phone calls with prospective families, booking tours, and sending offers to enrol
* Actively managing centre waitlist by progressing waitlisted families as positions become available
* Manage end-to-end enrolment processes using our childcare management system (Xplor), including confirming childcare subsidies, organising birth certificates, immunisation statements, custody papers, and medical information
* Daily interaction with families to manage any changes to enrolments as they arise
* Completing financial processes at family enrolment and on a weekly basis
* Coordinating and generating reports for management and assisting with internal and external audits.
* Providing administrative and operational support to the leadership team
* Assisting with funding reports, expenditure tracking, and reconciliations
* Coordinating centre communications — newsletters, family updates, and notices
* Monitoring supplies, ordering resources, and maintaining office systems
* Upholding child safety, privacy, and compliance standards across all operations
About you
You're an organised, proactive professional who thrives supporting others and keeping things running smoothly. You take pride in being the go-to person for information and support, and you bring a balance of warmth, precision, and initiative to your work.
You'll bring:
* Certificate III in Business Administration (or equivalent experience)
* Minimum 3 years' experience in administrative roles with exposure to sales support or finance
* Confident written and verbal communication and customer service skills
* Excellent organisational skills and ability to work in a systematic manner and work independently
* Working knowledge of Microsoft Office and administration systems
* Experience with financial or administrative tasks such as CRM management, filing, and reporting
* Experience with Xplor or another Childcare Management System, and navigating Childcare Subsidy (CCS) would be an advantage
* Ability to prioritise and manage a busy environment with a smile and positive attitude
* A current Working With Children Check, Child Protection training, and First Aid certificate (or willingness to obtain)
* An understanding of confidentiality, compliance, and high professional standards
