Due to rapid growth are seeking a detail-oriented and highly organised Sales & Operations Planning (S&OP) Coordinator to work alongside an existing coordinator, sharing responsibilities to ensure efficient and accurate product setup, promotion management, and retail compliance and to support our cross-functional teams in launching and managing products across multiple retail channels.
This role acts as the critical link between sales, marketing, operations, and finance to `ensure all products are properly set up, barcoded, forecasted, and promoted in line with retailer requirements.
Key Duties & Responsibilities:
Product Setup & Stock Management – Report to Operations Director
· Maintain and update Stock Master File for an allocated portfolio.
· Allocate and generate product barcodes using barcode creation tools.
· Prepare barcode mock-ups and GS1-compliant documents.
· Generate pallet configurations (Ti Hi) using Stackbuilder software.
· Coordinate EDI and export market-specific SKU setups.
Promotional Planning & Execution – Reports to Account Manager
· Collaborate with sales and marketing to develop a rolling 12 month promotional strategy maintaining six months in advance and in line with retailer requirements
· Prepare and submit promotional slotting forms and work in portals and retailer software to major retailers (e.g. Coles, Woolworths, Big W, Priceline).
· Maintain accurate and up-to-date promotional calendars.
· Assess co-op and scan sales spend against budgets set per activity.
· Maintain a record of budget spent and available by brand and account for coops.
Cross-functional Team Support
· Assist National Account Managers, Brand Managers, Directors, and Sales teams with product information and specifications.
· Liaise with teams to gather product dimensions, specifications, pricing, and promotional details.
· Complete new line for and product enrichment information and liaise with marketing team for romance copy, ingredients and images to supply completed work to accounts.
Retailer-Specific Documentation - Report to Account Manager
· Complete and manage retailer specific forms for all retailers e.g slotting and promotional forms, range development sheets, new line deal sheet, new line submission.
· Ensure timely and accurate submission of all retailer-specific requirements.
Forecasting & Claims Reconciliation - Report to Account & Finance Manager
· Forecast and log promotional claim amounts for all retailers, keeping schedules up to date for finance budgeting purposes.
· Analyse promotional effectiveness.
· Reconcile promotional claims monthly and weekly in coordination with the finance team.
· Record and monitor trade marketing bookings and promotional expenses.
Administrative & Ad Hoc Tasks
· Data analysis and insights for ongoing business needs as requested for larger project and range review needs.
· Ensure all product-related updates are reflected in internal systems (e.g., PH, Stock Master).
· Ensure new business and products are captured in budgets schedules.
Skills Required:
· 2+ years of experience in operations, sales support, or experience within the FMCG environment.
· Strong Excel skills and proficiency in document management.
· Excellent organizational and time management skills.
· Ability to collaborate across departments and manage multiple priorities.
· High attention to detail and accuracy.
· Familiarity with retail environments and promotional planning processes is preferred.
· Experience with barcode generation tools and GS1 systems is a plus.
· Knowledge/experience in setting up products & information within EDI systems for accurate data interchange advantageous.
