About the Role
As the Practice Manager, you will be responsible for the overall coordination, leadership, and operational performance of the dental practice. You will act as the central point between clinicians, administration staff, and business owners, ensuring the practice operates efficiently while maintaining exceptional patient care standards.
Key Responsibilities Practice Operations
* Oversee the daily operations of the practice to ensure smooth workflows
* Maintain high standards of patient service and experience
* Coordinate communication between clinical and administrative teams
* Manage opening and closing procedures
* Resolve operational issues promptly and professionally
* Recruit, onboard, and train new staff members
* Manage employment contracts, job descriptions, and staff records
* Coordinate rosters, leave management, and staffing coverage
* Conduct performance reviews and support staff development
* Ensure compliance with Fair Work and employment legislation
Payroll & Staff Payments
* Oversee payroll processing and staff payments
* Manage timesheets and verify hours worked
* Ensure accurate payment of wages, superannuation, and entitlements
* Liaise with accountants and payroll providers
* Oversee billing, invoicing, and payment processing
* Monitor accounts payable and receivable
* Manage daily banking and financial reporting
* Support budgeting and cash flow management
* Liaise with bookkeepers and financial advisors
Practice Facilities & Equipment
* Coordinate maintenance of the practice premises
* Manage servicing of dental equipment and IT systems
* Ensure compliance documentation and servicing schedules are maintained
Compliance & Regulation
* Ensure compliance with all regulatory requirements including AHPRA standards, infection control protocols, workplace health and safety regulations, privacy and patient record requirements
* Support accreditation and compliance audits
* Oversee appointment scheduling and patient workflows
* Manage patient feedback and complaints professionallySupport front desk teams with patient enquiriesMonitor recall systems and patient retention Marketing & Online Presence
o Oversee the practice's social media and online presence
o Coordinate marketing campaigns and promotional activities
o Monitor online reviews and reputation management
o Maintain website updates where required
Reporting & Communication
o Provide operational and financial reports to practice owners
o Escalate issues requiring owner input or approval
o Act as a trusted advisor on staffing and operational matters
Skills & Experience We are seeking someone who is confident, organised, and commercially minded. Essential
o Previous experience as a Practice Manager or senior administration leader
o Strong understanding of dental or healthcare practice operations
o Knowledge of Fair Work and Australian employment legislation
o Experience managing staff, rosters, and payroll
o Excellent leadership and communication skills
o High level of professionalism and confidentiality
Desirable
o Dental industry experience
o Experience with dental software (Exact, Dentally, Core Practice etc.)
o Certificate IV or Diploma in Practice Management or Business
o Experience managing leases or practitioner room agreements
