Frontline Accounts and Administrative Assistant

The Frontline Accounts and Administrative Assistant provides a comprehensive range of high-level administrative, billing, data entry and public/customer relation support functions to support the achievement of the centre outcomes.
What you'll be doing
The Frontline Accounts and Administrative Assistant is responsible for ensuring all family and revenue related administration and financial transactions and processes are managed in accordance with legislative, statutory, NSW Government childcare legislation guidelines. Responsibilities will be diverse and include a combination of the following functions (depending on business demands):
Front and back-office administration of Erina kindergarten (including customer service, answering phones calls and transferring calls, printing, filing, responding to emails, data entry and billing, debt recovery).

1. Demonstrated knowledge and use of childcare billing systems as well as the ability to analyses and report on findings
2. Proven knowledge and experience with regards to interpreting applicable policies and legislation pertaining to billing requirements in an accounts related/revenue setting
3. Demonstrated high-level interpersonal, verbal and written communication skills, with the ability to prepare a range of documents and reports for internal and external stakeholders
4. Developed analytical and problem-solving skills with an ability to plan, priorities and organise own work taking into consideration the impact on others to achieve results and meet key performance indicators
5. Demonstrated experience working within an environment requiring sensitivity and consideration in relation to confidentiality and privacy
Qualifications, Experience & technical skills;
* Tertiary qualification (in the field of Education, Business, Administration, Accounts/Finance) is desirable
* Good working knowledge of childcare software systems is desirable i.e. OWNA is a definite advantage
* Good working knowledge of Microsoft office suite
* Intermediate to advanced proficiency in Microsoft Office suite, particularly Excel for financial reporting
* Experience delivering quality customer service is essential
* Experience in the education sector is an advantage
* Prior experience working with a close team of experienced managers
* Knowledge of HR and WHS principles is desirable
* Experience in a busy front desk role is desirable
* Experience in a high paced environment is essential
* A minimum of two years of experience in an administration/finance/education role is desirable
* A minimum of two years of experience in an administration/finance/education role is essential
* Current NSW working with Children Check, First Aid, CPR, Anaphylaxis and child protection certifications
* Essential: Current NSW Working with Children Check and Police Check (within 12 months)
* Desirable: First Aid, CPR, and Anaphylaxis certifications
* Current police check (issued in the last 12 months)
* Driver license (preferred)
* Work authorisation required
* Australian work authorisation required (Australian/New Zealand citizenship, permanent residency, or valid work visa)
* Experience with Accounts Payable and Accounts Receivable processes
* Knowledge of bank reconciliations and month-end processes
The successful candidate is required to:
* Have excellent attention to detail
* Have a current working with children's check
* Have a current police check
* Must be available minimum 3 permanent days
* Have excellent written and communication skills
* Have experience in billing and administration
* Have frontline experience in a customer focused environment
* Be highly organised and be able to prioritise and multitask
* Be flexible and resilient

* Be a key contributor to strategy and vision of the service

* Be supportive of the Erina kindergarten ethos of the childcare service
* Be highly effective, skilled administration support officer with experience in a busy dynamic office environment
* Possess high level interpersonal, presentation and communication skills, and the ability to develop positive relationships with staff, student, parents/carers and community members
* Be familiar with various software packages which may include but not limited to OWNA, Microsoft Office including outlook, Adobe Creative Suite
* Demonstrate outstanding verbal and written communication skills
* Strong problem-solving and conflict management skills
* Be task focused with attention to detail and flexibility regarding duties
