Purpose of the Position
The Research Administration Officer will provide high level administrative and project support to the Research Office and other teams within the Higher Education and Research Division (HERD) at Batchelor Institute. The position will support the day-to-day operations of research and language activities by assisting with purchasing, payments and acquittals, travel bookings, event organisation, filing and document management, data base management, student liaison and administration.
Duties
* Assist the implementation of research projects by providing administrative support to researchers including travel bookings, workshop or event arranging, purchasing goods and services and other administrative tasks.
* Maintain day to day office and equipment requirements.
* Assist HERD teams with purchasing of items or services by obtaining quotes, raising purchase orders, and following up errors on invoices and related documents, as per Finance requirements.
* Assist with credit card acquittals using online Expense 8 system, while maintaining accurate records of transactions.
* Assist with travel arrangements for staff, students or others as required, and assist in coordination where large events are involved.
* Undertake various administrative tasks, including student liaison and data entry, relating to Language certificate course delivery.
* Assist with grant administration and acquittals by updating tracking spreadsheets and other tasks.
* Organise meetings, teleconferences and video conferences as needed and take minutes where required.
* Liaise with HERD team personnel, appropriate Institute staff and external groups as required.
* Assist with administration of Adjunct appointments.
* Undertake other reasonable duties as directed by your line manager.

1. Demonstrated ability to work effectively in culturally diverse teams within the social, political, and cultural environments of Indigenous Australian families, communities, and organisations.
2. Demonstrated experience in the use of computer-based applications such as MS Outlook, Word, Excel, SharePoint, Teams and record management systems.
3. Demonstrated commitment to upholding high ethical standards in purchasing and payments, including confidentiality, integrity and honesty in handling financial transactions.
4. Highly effective interpersonal skills including proficient written and oral communication which can be adapted to meet the needs of people from all educational levels.
5. Ability to build strong relationships with both internal and external stakeholders.
6. Demonstrated initiative and managing workload priorities, and project management skills.
7. Understanding of Work Health and Safety principles and practices, and ability to comply with Institute WHS Policies and Procedures.
Selection Criteria - Desirable
1. Experience in use of government financial systems (Expense 8, GAS)
2. Certificate IV in Office Administration/Business or equivalent
3. Certificate in Project Management
