Pivot operates an administration team who share responsibility for enabling support to all parts of the business. The role is a shared function and will facilitate the occupants to bring their strengths to the different tasks. As the Administration Officer, you will be the first point of contact for our visitors, clients, and staff, while providing key operational and administrative support across all program and executive areas. You play a central role in maintaining a professional, welcoming front-of-house, providing executive support, supporting office and facilities management, assisting with records and compliance, and ensuring smooth program delivery. You will work collaboratively with the other members of the administration team, managers, and program and frontline staff to keep systems functioning smoothly and support Pivot's commitment to integrity, safety, and professional service.

Key Responsibilities
* Front-of-house customer service: greet and direct clients and visitors, answer calls, manage busy reception and intake traffic.
* Administrative support: prepare documents, support meetings, maintain supplies, set up office spaces, and keep accurate minutes.
* Executive and internal support: assist communications, maintain registers/assets, process onboarding/offboarding, and oversee petty cash.
* Facilities and fleet coordination: liaise with cleaners, arrange building and vehicle maintenance, and uphold workplace health and safety standards.
* Program-specific administration: manage referrals, program documentation and reporting, billing/scheduling, and maintain client profiles.
* Compliance: maintain administrative records, support audits, and assist with policy and regulatory obligations.
* Provide comprehensive administrative assistance to the case management team to ensure effective and timely service delivery across the organisation
* Other duties as needed to support operational requirements.
