Position Overview:
A Project Administrator coordinates project activities, manages schedules, tracks budgets, and ensures projects are completed on time and within scope.
The Project Administrator acts as the backbone of project management, ensuring that all parts of a project align seamlessly. By providing administrative support, they help maintain schedules, track progress, and communicate effectively between team members and stakeholders.
Key Responsibilities:
* Supporting the Project Manager in the planning and execution phases.
* Managing documentation and ensuring compliance with project guidelines.
* Coordinating meetings and communicating updates to team members
* Plan, organize and coordinate project activities and timelines
* Prepare, track and manage project documentation, reports, schedules and project files
* Coordinate communication between clients, suppliers, subcontractors and internal teams
* Support Project Managers and site teams with administrative processes to achieve project goals and deadlines
* Monitor project progress and collect data for reporting and performance analysis
* Prepare and review progress reports, project submissions and compliance documents
* Organize project meetings, prepare minutes and follow up on action items
* Maintain accurate and up-to-date project records, registers and databases.
Key Qualifications:
* Diploma or higher qualification in project administration or a related field.
* Minimum of two years of proven experience in project administration, project coordination or a similar role.
* Strong organizational and multitasking skills with high attention to detail.
* Ability to work in a fast-paced environment and manage competing priorities.
* Excellent communication and stakeholder coordination abilities.
