About the Role
Wilson Sports & Pain Medicine is an upcoming specialist clinic dedicated to providing high-quality, patient-cantered care. As we prepare for our launch in April 2026, we are seeking two professional and motivated Medical Administration Officers to join our foundational team.
This is a rare opportunity to help shape the culture and operations of a new specialist practice from the ground up. You will work closely with our Clinical Lead and medical team to ensure a seamless experience for our patients.
Key Responsibilities
* Patient Coordination: Managing a high volume of phone inquiries and emails with empathy and professionalism.
* Booking & Scheduling: Coordinating complex specialist appointments and follow-ups.
* Referral Management: Processing incoming referrals and ensuring all clinical documentation is ready for review.
* Financial Admin: Managing patient billing, receipting, and navigating Medicare/Private Health claims.
* General Practice Support: Ensuring the smooth daily operation of the clinic, including scanning, filing, and assisting the clinical team as required.
Skills & Experience
* Medical Admin Experience: Previous experience in a specialist or general practice environment is highly regarded.
* Software Proficiency: Familiarity with clinical software (experience with Xestro or Heidi is a significant advantage, though training will be provided).
* Communication: Exceptional verbal and written communication skills with a focus on patient care.
* Reliability: A proactive \"can-do\" attitude with the ability to work independently in a fast-paced environment.
* Compliance: Must have valid Australian working rights .
