Are you an enthusiastic, professional, high performing and motivated individual? We are looking to fill multiple APS 4 Executive Assistant roles throughout the department.

We have several vacancies in Canberra. We are also looking to establish a merit pool of suitable candidates to fill future Executive Assistant vacancies.

The primary focus of the APS 4 Executive Assistant is to provide high-level support by undertaking administrative activities and tasks for one or more Branch Manager’s (SES Band 1).

We are seeking candidates who are motivated self-starters with initiative, organisational skills and attention to detail. Successful candidates will have excellent people skills, with the ability to develop and maintain effective working relationships with a wide cross-section of both internal and external stakeholders.

You will be comfortable operating in a fast-paced environment and can manage multiple competing priorities in a professional manner, with great attention to detail.

Experience as an Executive Assistant is not required, but the role is best suited to candidates who are customer focused, enjoy dealing with people and are good at managing multiple tasks and solving problems.

The key duties of the position include:
* manage the Branch Manager/s diary, phone, in-tray and email
* prepare routine correspondence, briefs and coordination of papers
* provide travel, accommodation and financial acquittal services
* coordinate administrative tasks such as stationery orders, phone lists, property and accommodation related requests
* continuous improvement of the Branch Manager/s office through the use of efficient and practical administration processes and systems
* manage regular branch-wide internal reporting and meetings
* assign and collate briefs such as senate estimates briefings and coordinate document. management via the Parliamentary Document Management System (PDMS)
* provide secretariat duties for branch meetings.
