Associate Producer (Events and Experiences)
We're looking for an Associate Producer to help deliver standout projects and events, including the Brisbane Portrait Prize.
This is a practical, creative role for someone who enjoys working with a team, solving problems, and getting things done. You'll help make events run smoothly, from the big picture to the small details, and bring ideas to life in a thoughtful, human-focused way.

Our team brings together project managers, marketers, curators, event producers, artists, hosts, geeks, and collaborators. What unites us is a love of turning big ideas into real‑world projects and events that bring people together.
One of our key projects is the Brisbane Portrait Prize – an annual celebration of Brisbane artists and their sitters. The project runs as a full year of activities, culminating in the finalists exhibition held between September and November. It is designed to shine a light on local talent and encourage the wider community to engage with the arts.
About the Role
This role is primarily focused on the Brisbane Portrait Prize, supporting the delivery of the exhibition and related events throughout the year.
You'll also pitch in across other projects – including Something Digital and Something Fest, a week-long festival celebrating digital, innovation, and technology in August. From time to time, you may also support other events produced by our team.
Responsibilities
* Liaising with the State Library of Queensland's Exhibitions & Events teams
* Coordinating the volunteer program – including recruitment, onboarding, scheduling, and on‑the‑day management
* Managing sponsor events during the finalists exhibition
* Planning and delivering smaller BPP events in the lead‑up to the exhibition
* Overseeing suppliers for satellite showcase exhibitions
* Supporting and helping manage the artist entry process
* Maintaining regular communication with artists throughout the year
* Taking the lead on delivering Opening Night
* Assisting with governance tasks and documentation
* Stage Management for larger productions including Tech Sheets, AV Management, Speaker Management prior to the event and on the day
* Supporting other activations and events as needed
About You
You're someone who cares about creating thoughtful, well‑executed experiences – whether they take the form of exhibitions, activations, events, or something in between.
You might be early in your career and keen to grow, or bring more experience and be looking for a creative, hands‑on role in a collaborative team.
You don't need to be an expert in the arts, but you should have a genuine interest and be curious to learn.
A passion for producing meaningful experiences – from exhibitions to live events and everything that connects them
An interest in visual arts and culture, and a willingness to dive deeper
Practical thinking and problem solving – you know how to weigh up what's needed, find sensible solutions, and make things happen
The ability to draw on past experiences and apply what you've learned to new challenges
Confidence with tech and digital tools – we use Airtable, Asana, Brevo, Paperform, and Connect Teams, and we're always open to smarter systems
A proactive approach – you're good at spotting what needs doing and stepping in to make it happen
A love of efficiency and clever workarounds, especially when it makes things run better
Strong attention to detail, with the ability to juggle moving parts without dropping the ball
Clear, confident communication skills, and a patient, people‑focused approach
A sense of humour, adaptability, and team spirit – we're a small, close‑knit team and everyone rolls up their sleeves
Logistical Details
Role Type: Part time – 3-4 days per week (though please chat to us if you need something slightly different). We need someone who can come into the office Tue-Thu.
Start: ASAP.
Location: Based in the cafe precinct of Teneriffe (office dog included).
