We are seeking a highly organised and detail-oriented Safety & Maintenance Administrator to join our team. This role plays a key part in supporting both our Work Health & Safety (WHS) and Maintenance functions, ensuring compliance, accurate record-keeping, and smooth coordination across systems and processes.
About the Role
Reporting to the Safety Manager, this position is responsible for providing administrative and coordination support across WHS and Maintenance activities.
The role is structured as:
* 60% WHS Administration (3 days per week)
* 40% Maintenance Administration (2 days per week)
Key Responsibilities
WHS Administration
* Maintain WHS systems including incident reports, hazard registers, and corrective action registers
* Monitor and follow up corrective actions to ensure timely completion
* Manage Safety Data Sheets (SDS), hazardous chemical registers, and emergency documentation
* Support incident investigations through documentation and tracking
* Coordinate WHS Committee meetings
* Assist with audit preparation and ensure records are up to date
* Coordinate compliance training (e.g. First Aid, Warden training, licences)
* Support emergency drill planning logistics
Maintenance Administration
* Raise, track, and close maintenance work orders in MEX
* Coordinate preventative maintenance schedules
* Maintain asset registers, service records, and inspection logs
* Manage contractor onboarding, inductions, and compliance documentation
About You
* Certificate IV in Work Health & Safety (or currently working towards)
* Strong Microsoft Office skills, particularly Excel
* Understanding of WHS legislation (NSW preferred)
* Excellent organisational and time management skills
* High attention to detail and accuracy
* Ability to manage competing priorities
* Strong communication skills and professional conduct
