Foreshore Fencing is a busy and growing fencing and gate fabrication company looking for a switched-on Office Administrator to keep the wheels turning behind the scenes.

This role is perfect for someone who loves organisation, thrives on structure, and wants reliable school-hours work.

You'll work closely with the director and be the central point of contact for job tracking, customer updates and job coordination from quote to invoice stage.

You will be required to ensure timelines are met and issues are resolved quickly and professionally.

What you'll be doing:

Job Scheduling Co-Ordination

* Working with the Director on Scheduling and coordinating fencing jobs from booking through to completion
* Updating and maintaining job tracking systems
* Liaising with customers, suppliers and staff
* Managing job calendars, confirmations and follow-ups
* Preparing invoices
* Handling incoming calls and emails
* Keeping job records accurate and up to date
* Build, improve and maintain systems and processes from the ground up as the business grows.
* General admin support to keep operations running smoothly

Team & Business Operations Support

* Implement Process Improvements
* Maintain Compliance Documentation (Insurances, OH&S Requirements for the factory, staff inductions and onboarding)
* Assist with the onboarding of new contractors and staff

What we're looking for

* Previous admin, scheduling and job coordination experience (construction/trades experience is a big plus) - Essential.
* Intermediate computer skills including experience with Excel.
* Experience with construction-specific Job Management Systems is essential.
* Strong organisational skills and attention to detail
* Confident phone manner and clear written communication
* Ability to juggle multiple jobs without dropping the ball
* Comfortable using computers, email and job management systems
* Reliable, practical and able to work independently
