About the role:
The
Facilities Administrator
will manage a series of administrative activities that sits within the responsibility of the Facilities Team. This is a role that requires valuable administrative skills and attention to detail as well the ability to prioritize and meet deadlines. This role is part of the Workplace Solutions Team and reports in to the Facilities Manager. Most of the activities covered by this role are to be performed for the Sydney Olympic Park office only whilst mobile phones and expat activities are to be managed for all office across Australia.
Duties and Responsibilities:
- Mobile phones
– record, hand out and ensure all records related to mobile phones and users are always up to date and in alignment with the Mobile Phone Policy
- Expats
– organise arrival and departure activities (housing, household good removal et.) departing and arriving expats.
- Compliance
– main responsible for responding to Workplace Solutions related compliance related requests
- Asset Management
– responsible for tracking Workplace related assets and keep the asset register up to date at all times. Manage the asset transfer process between Workplace Solutions and other Divisions within Samsung
- Asset Testing and Tagging
– ensure legislative compliance testing and tagging is carried our for all equipment on site.
- Parking allocation
– based on the Parking Policy manage the allocation of basement and open-air parking and ensure parking allocation overview is always up to date
- Company Fleet Management –
Coordination with employees ordering of replacement cars, return of cars as well as fuel cards.
- AV equipment –
responsible for all AV equipment on site – check and ensure it is always operational, ensure service and repairs are carried out and new equipment ordered if required.
- Office Supplies –
maintain tidy office supplies rooms and ensure they are stocked as per the stocking list. Order office supplies as required for the office supplies rooms as well as specific office supply items requested by various teams.
- Subscriptions –
Manage subscriptions online and paper versions.

Whilst the above are ongoing activities there will be ad hoc activities
About YOU:
- Minimum of 3 years experience as a Facilities Coordinator/Administrator
- Experience in record keeping with focus and attention to detail
- Experience in managing compliance and compliance related activities
- Excellent written and communication skills
