The Role
The EPIC Administrator plays a vital role in supporting the day-to-day operations of our local offices. This position provides high-quality administrative and customer service support, contributes to finance and receipting processes, assists with onboarding activities, and supports the coordination of office, vehicle and facility bookings.
As the first point of contact for many visitors and stakeholders, this role helps ensure a professional, organised and welcoming experience while upholding EPIC's confidentiality, compliance and service standards.
Your responsibilities
* Administration, Finance & Office Support
o Supporting receipting, invoice coordination and purchase-order processes
o Uploading and maintaining accurate financial documentation
o Assisting with vehicle logbooks, kilometre records and data tracking
o Supporting general office administration, mail, stationery and record keeping
* Customer Service & Reception
o Acting as the first point of contact for visitors, participants, staff and contractors
o Responding to phone and email enquiries promptly and professionally
o Delivering a high standard of customer service aligned with EPIC values
* Onboarding & Orientation Support
o Assisting with onboarding packs and new starter logistics
o Coordinating access requirements such as keys, desk setup and ICT requests
o Supporting site orientation and operational briefings for new staff
* Facilities, Scheduling & Coordination
o Coordinating vehicle servicing, building maintenance and equipment bookings
o Managing meeting room bookings and shared spaces
o Monitoring office and facility needs and reporting issues as required
o Ensuring common areas are clean, organised and ready for use
* Team Support & Collaboration
o Participating in team meetings and sharing operational updates
o Working collaboratively with Operations, People & Safety, Finance and other teams
o Assisting with site-based events, training sessions and internal activities

Essential
* NDIS Worker Clearance
* Current WA C Class Driver's Licence
* Strong written and verbal communication skills
* High attention to detail and accuracy
* Strong organisational and time management skills
* Ability to maintain confidentiality and professional boundaries
* Proficiency in Microsoft Office and general computer literacy
* Interest in community or disability services
Desirable
* Experience in disability services or the not-for-profit sector
* Experience with Canva, Adobe or similar design platforms
