Board and Executive Coordinator
ARRC Gold Coast is building an integrated recycling and energy precinct that will transform how waste is managed and significantly reduce reliance on landfill. We’re looking for a highly capable Board and Executive Coordinator to support group wide governance and executive operations across the ARRC Group. This is a critical, senior role at the centre of the organisation, operating with a high degree of autonomy and working directly with the CEO, Company Secretary and Board. ARRC Gold Coast is a dynamic and innovative resource recovery and circular economy company owned by the City of Gold Coast.
It is the powerhouse behind the Advanced Resource Recovery Centre (ARRC), a $1.6 billion state-of-the-art integrated recycling and energy precinct.
The ARRC is an exciting new chapter in the Gold Coast’s evolutionary story.
An integrated recycling and energy precinct, the ARRC will boost recycling capabilities, enhance remanufacturing and resource recovery and generate energy from residual waste.
Ultimately it will divert up to 97% of waste away from landfill, providing a sustainable waste management solution for the Gold Coast and South-east Queensland.
The Opportunity
This role provides end-to-end coordination and secretariat support to the ARRC Board and its Committees, alongside executive support to the CEO and Leadership Team. You’ll be the engine behind well-run board processes, high-quality papers, and disciplined governance - while also ensuring the executive team operates smoothly and efficiently.
Your Key Responsibilities – Make Your Mark
Board & Committee Coordination
* Own the end-to-end delivery of board and committee meetings, including scheduling, logistics and technology
* Prepare, coordinate and distribute high-quality agendas, board packs and minutes
* Track board and committee actions and ensure accountability and follow through on key decisions
Governance & Secretariat
* Partner closely with the Company Secretary to support group governance and compliance obligations
* Maintain forward agendas, board calendars and reporting cycles
* Actively improve secretariat processes, templates and governance systems
Board Records & Compliance
* Maintain accurate and secure board and committee records
* Track director terms, declarations and ongoing governance requirements
* Coordinate statutory and regulatory lodgements
Board & Stakeholder Engagement
* Act as a key interface between Board members, executives and stakeholders
* Coordinate board onboarding and annual planning sessions and governance activities
Executive Support
* Provide executive and support to the CEO and Leadership Team (diary, meetings, correspondence)
* Manage reporting calendars and submission deadlines under governance frameworks
* Coordinate information flow to support effective executive and board decision making
What We’re Looking For:
You’re organised, discreet and unflappable. You know how to manage senior stakeholders, exercise sound judgement, and maintain high standards while working with a degree of autonomy in complex governance environments.
* 5+ years’ experience in board, governance or executive coordination roles
* Strong experience preparing board papers, agendas and minutes
* Solid understanding of governance frameworks and compliance requirements
* Exceptional written communication and attention to detail
* Highly organised with the ability to manage competing priorities
* Confident working with senior executives and board members
* Experience with board management systems (e.g. Diligent, BoardEffect) and modern collaboration tools
