About This Opportunity
We're looking for a proactive and highly organised Administration Officer to play a key role in supporting the FaBA Executive and enabling the smooth delivery of high‑impact engagement activities. In this role, you'll provide trusted administrative support, coordinate events and meetings, manage financial and travel processes, and work closely with internal and external stakeholders—helping FaBA operate efficiently and deliver meaningful outcomes in line with University policies and procedures.
Key Responsibilities
* Provide high‑level administrative support to the FaBA Executive, ensuring efficient day‑to‑day operations, diary management, reception duties, and adherence to administrative standards and protocols.
* Coordinate and support events, meetings, committees and engagement activities, including scheduling, room bookings, agendas, minutes, RSVPs and stakeholder liaison.
* Manage financial transactions, reimbursements and delegated expenditure, and coordinate end‑to‑end travel arrangements in line with University policies and procedures.
* Maintain administrative systems and quality assurance processes, use University systems and desktop tools effectively, and respond to internal and external stakeholder enquiries with professionalism.

About You
* Completion of a diploma level qualification with relevant work experience, or an equivalent combination of relevant experience and/or education/training.
* Previous experience in administrative support roles within a large organisation desirableli>
* Strong organisational and time management skills with the ability to prioritise tasks.
* Excellent interpersonal and communication skills for effective stakeholder engagement.
* Proficiency in Microsoft Office Suite and relevant University systems, particularly Microsoft Word, Excel, Smartsheet or demonstrated willingness and ability to learn new systems.
* Attention to detail and commitment to maintaining quality assurance standards.
* Ability to work collaboratively in a team environment and under general supervision.
