Administration Assistant - Estimating
Established Mechanical Contracting Business Seeks Experienced Administrator
The company is a leading Australian business with an excellent reputation for delivering high-profile projects in every capital city across the country.
In response to growth, this business requires an administrative professional to support project estimators.
This role plays a vital part in assisting the Victorian estimating department and other estimators within our organisation.
The successful applicant will be responsible for:
* Preparation of Tender Documents and Presentations: Assist estimators in preparing tender documents and presentations, including pre-qualification requirements for multiple estimating portals.
* Meeting Assistance: Attend meetings and take minutes as necessary.
* Quotation Research and Supplier Communication: Help obtain quotations from suppliers/subcontractors by printing and issuing documents, as well as making follow-up telephone calls.
* Tender Research: Conduct research on current tenders through various means, such as the internet, newspapers, or other available sources.
* Tender Follow-up: Promptly remind estimators to follow up on tender prospects.
* Status Updates: Follow up on the status of minor works tenders with builders and consultants as directed by the Estimating Manager.
* Stationery and Office Equipment Maintenance: Ensure the maintenance of stationery and office equipment within the Estimating Department.
* Handover Folders and Internal Resumes: Print handover folders for successful tenders and create/maintain internal resumes for staff as needed.
* Capability Statements and Administrative Projects: Create/maintain capability statements as required and undertake administrative projects as requested by the Estimating Manager - VIC.

* Remuneration: Remuneration for this role includes base salary and superannuation, which will be discussed with relevant candidates.
Selection Criteria
* To be successful in your application, you must possess:
* Australian Permanent Residence.
* Relevant Administration Experience: Have held similar administration roles in the past, preferably in project management, construction, estimating, or sales administration.
* Organisational Skills and Initiative: Be highly organised and demonstrate initiative.
* Computer Proficiency: Possess excellent computer skills, including experience with databases, accounting software, and spreadsheets.
* Construction Industry Knowledge (Desirable): While construction industry experience is ideal, it is not essential if an applicant demonstrates all other attributes mentioned above.
