THE ROLE
The Administration Assistant is responsible for ensuring customers and visitors of the business are greeted in a professional and friendly manner. The office Administration Assistant will also provide general administrative assistance to the Rail Department.
This role requires a strong understanding of administration tasks, attention to detail and the ability to work collaboratively with internal and external stakeholders.
RESPONSIBILITIES
Assist with costing of completed work orders
Assist with costing variations and follow-up as needed, once approved
Organise despatch of freight of units when approved
Maintain and update work in progress board for operational tracking
Issue certificates of conformance and other compliance documentation
Prepare and process invoices for completed jobs once approved
Assisting with Sitedocs administration and tool box preparation
Support other administrative tasks as required
Assist with raising W/O
Assist with P/O Number to Subcontractor
Request P/O from Customer and Invoice Customer
Email invoices to customers
Check emails, reply and seek information if required
Answer all phone calls
Filing of documentation daily
Checking unit history and warranty dates as required.
Assist in providing general administrative support in relation to OHS requirements as directed
Ensure the security of information, particularly company pricing, sales or market information.
Carry out all other adhoc tasks requested by Management.
ROLE REQUIREMENTS
Computer experience (intermediate)
Attention to detail and commitment to processes.
Strong work ethic with the ability to prioritise.
Initiative and enthusiasm.
Willingness to learn and to follow instructions.
A flexible approach to working hours and being punctual.
Ability to work well with others in a team and autonomously
QUALIFICATIONS / EXPERIENCE
Minimum 2 years' experience within a similar role.
