The Faculty of Health, Medicine and Behavioural Sciences (HMBS) is looking for a motivated and service‐focused Administration Officer to play a central role in the day‐to‐day life of the St Lucia Faculty Office. This is a highly visible, people‐facing position where your organisation, initiative and professionalism will directly shape the experience of staff, students and visitors.
You will be the welcoming first point of contact for the Faculty Office, ensuring the environment runs smoothly and efficiently. From coordinating meetings and events to managing supplies, processing financial transactions and supporting operational activities, your contribution will underpin the effective functioning of the Faculty. Working closely with colleagues across functional teams, you will help foster a responsive, collaborative and customer‐centred culture aligned with University policies and procedures.
Key Responsibilities
* Deliver high‐quality administrative and operational support to the Faculty Office, coordinating routine business processes and responding to general enquiries.
* Serve as the primary point of contact for the St Lucia Faculty Office, managing deliveries and providing professional front‐of‐house support to staff, students and visitors.
* Oversee stock and supplies management, including inventory monitoring, ordering and accurate record‐keeping.
* Provide comprehensive administrative support across procurement, financial and Faculty activities, including purchase requisitions, invoice processing, reconciliations, room bookings, meetings and event coordination.

About You
You will have effective administrative and organisational skills, a strong customer‐service focus, and the ability to manage multiple tasks in a busy environment. You enjoy working collaboratively, take pride in keeping things running smoothly, and are comfortable supporting a wide range of stakeholders.
* Relevant qualification (diploma/certificate) and/or equivalent administrative experience in a professional office environment.
* Demonstrated ability to deliver high‐quality administrative support with strong attention to detail.
* Well‐developed customer service, interpersonal and communication skills.
* Strong organisational and time‐management skills, with the capacity to prioritise competing tasks and meet deadlines.
* Experience in ordering, basic financial administration, record‐keeping, and proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
* Proven ability to work collaboratively in a busy, changing environment, with knowledge of (or capacity to quickly learn) University systems, policies and procedures.
