Business Support Centre Executive Assistant
EY is seeking a Business Support Centre Executive Assistant. This role provides high quality, efficient administrative support in a proactive, collaborative manner across geographies and service lines. The position is a hybrid, full-time 12-month fixed term contract based in Naarm (Melbourne) or Warrang (Sydney). Regular in-person attendance is required.
The opportunity
As our Business Support Centre Executive Assistant you’ll work in a team environment to deliver administrative support within a defined scope of services. This role supports multiple geographies and service lines, in local and virtual settings.
Your Key Responsibilities
- Prepare and manage expense claims for Senior Managers and Directors using the firm’s in-house processing system, ensuring compliance with policy and Accounts Payable deadlines.
- Coordinate and respond to emails in EY\'s Security shared mailbox; support baseline security applications.
- Schedule and organize internal and external meetings, manage logistics, arrange travel bookings per firm policies, prepare itineraries, and track travel costs.
- Organize client events, manage catering and AV needs, coordinate group travel and accommodation, and secure venues using internal contacts.
- Conduct client/industry research, manage client database entries, provide technical coaching for new team members, process vendor payments, and support team projects and personal development as needed.
Skills And Attributes For Success
- Proficiency in MS Office; experience delivering technical training or coaching is preferred.
- Quality-focused with attention to detail; able to interact effectively with senior management and meet performance criteria.
- Solid prioritization, organizational and time management skills; good problem-solving abilities; proficient in database systems; strong customer service orientation; ability to work collaboratively in a team.
- Comfortable working virtually and independently; able to respond to deadlines and adapt to a changing environment.
Qualifications
- Minimum 2 to 3 years of work experience, with at least 2 years in a team environment providing secretarial services.
- Citizenship/eligibility to work in Australia and the ability to obtain NV1 Defence Security Clearance. Location: Sydney or Melbourne.
