We are seeking a highly organized and proactive Executive Assistant to provide top-tier support to our leadership team.
This role is perfect for someone who thrives in a fast-paced environment and enjoys combining executive support with operational oversight, process management, and project coordination.
You will play a key role in ensuring company procedures and systems are followed, managing business activity reports, overseeing diary and email management, and leading our construction management software, Plexa.
* Key Responsibilities:
* Executive Support:
o Provide high-level administrative assistance to our leaders.
o Manage and coordinate calendars, meetings, appointments, and travel.
o Prioritize and handle incoming communications, ensuring timely responses and follow-ups.
* Process & Procedure Oversight:
o Monitor adherence to company processes and procedures across all departments.
o Work closely with department heads to ensure systems and documentation are maintained.
o Identify and address gaps in process compliance to improve execution.
* Operational Reporting:
o Prepare and deliver reports on business activities and project progress.
o Support our leaders with business insights, team updates, and milestone tracking.
* Plexa Software Management:
o Lead the implementation and usage of Plexa construction management software.
o Provide user training, troubleshooting, and ongoing system improvements.
o Act as the key liaison with Plexa support for system enhancements.
* General Administration & Support:
o Assist with administrative tasks, internal meetings, and presentations.
o Coordinate internal workshops and act as a key liaison between our leaders and stakeholders.
