About the Company

About the Role

Reporting to the Management Team, you will play a key role in the day-to-day administration functions of the business.

To be successful, you must be a highly organized, enthusiastic, pragmatic individual with great attention to detail and a positive telephone manner. In addition, you will be self-motivated, pro-active, process driven, demonstrate initiative and have excellent communication skills.

Due to the nature of this busy role, it is essential that applicants possess a proven background with extensive experience in office administration and an ability to hit the ground running. You must be an excellent multitasker and have the ability to comfortably handle many competing demands at once.

This role is ideally suited to a candidate that is looking for a challenge and is ready to be accountable for their role in a business.

Duties

You will be responsible for:

* Updating status reports for incoming imported goods

* Inventory reporting

* Confirming quantity, rate charges, schedules, deposits and routings for imported goods

* Process consignments for special handling

* Ensure appropriate rate charges are collected and accounted for

* Collect imported goods documentation for settlement, and procure necessary regulatory clearances

* Organise logistics for imported containers

* Account receivable debt collecting

* General office administration and customer service

* Occasional reception work; receiving guests, post and collect mail, phone cover and taking messages

* Organising orders, rebates and customer deliveries

* Ensuring orders processed have been invoiced correctly

* Receipt of customer payments

* Help with quality assurance and maintain all standard documentation

* Data entry, filing, clerical and other administrative duties

* General duties to assist the director

* Other ad hoc duties as required

Skills & Experience

To be considered you will need:

* A minimum of 5 years experience in office administration

* Professional, approachable and warn in style with a strong attention to detail

* Effective and efficient with reporting skills to stakeholders and management

* Excellent written and verbal skills

* A friendly and polite manner

* Honest, trustworthy, reliable and dependable

* Outstanding customer service skills

* High attention to detail is a must

* Advanced experience with the Microsoft Office Suite of products

* Ability to prioritise tasks, multi-task and work efficiently

* The ability to work under pressure

* Strong initiative and problem-solving skills
