Workforce & Allocations Coordinator Junior

About the Company

Spartan Group is a growing company operating across crane hire, hoists, and lifting

solutions throughout Southeast Queensland.

We support major construction projects and pride ourselves on reliability,

responsiveness, and strong operational delivery.

Due to continued growth, we are looking for a Workforce & Allocations Coordinator

to support our day-to-day operations.

About the Role

This is a fast-paced, hands-on role focused on coordinating workforce allocations

across multiple job sites.

You will be the first point of contact for workforce scheduling, managing daily

allocations, responding to changes, and ensuring sites are staffed efficiently.

This role is ideal for someone organised, proactive, and confident communicating

with trades and site teams.

Key Responsibilities

Workforce Allocations

* Coordinate daily workforce allocations across:
o Tower Cranes
o Mobile Cranes
o Hoists
* Respond to allocation phone calls and emails
* Confirm worker availability and assign shifts
* Arrange replacement workers for absences or last-minute changes
* Assist with short-term and weekly workforce planning

Communication & Coordination

* Act as the first point of contact for workforce enquiries
* Communicate shift details, updates, and changes to workers
* Liaise with site teams to confirm staffing requirements

Timesheets & Administration

* Prepare and submit timesheets for client/site approval
* Follow up on outstanding approvals
* Maintain accurate allocation records and workforce data

Recruitment Support

* Contact candidates to schedule interviews
* Coordinate interview availability with management

About You

* Previous experience in workforce coordination, scheduling, or a similar role
* Strong organisational skills and ability to manage multiple tasks
* Confident communicator (phone and email)
* Able to work in a fast-paced, reactive environment
* Problem-solving mindset and ability to think on your feet
* Basic computer skills (Excel, email, job management systems)

Highly Regarded (but not essential)
* Experience in construction, crane, labour hire, or logistics industries
* Understanding of site-based workforce environments
* Experience with systems such as ServiceM8 or similar
