Admin Assistant (Construction / Renovations)

Vivid Living Renovations
Part-time | Remote (20 hours per week)

About the role

We're looking for a highly organised Admin Assistant to support the day-to-day running of a growing renovations business.

This role is responsible for keeping our systems, projects and admin running smoothly.

You'll work closely with the Director and 2IC to remove admin bottlenecks and keep projects moving.

What you'll be doing

Finance & admin support

* Reconcile accounts and support bookkeeping processes

* Issuing invoices to clients

* Prepare weekly batch payments for approval

* Follow up missing invoices and receipts

* Allocate costs correctly to jobs

Client communication

* Draft weekly client updates using job data and photos

* Collate site progress, notes and images

* Ensure consistent, professional communication

Trade & supplier coordination

* Follow up supplier invoices

* Check invoices before processing

* Maintain organised supplier records

Systems & project admin

* Manage and maintain Wunderbuild across all active projects

* Set up new jobs using templates

* Upload plans, variations, selections and approvals

* Keep job stages, notes and records accurate and up to date

* Convert meeting notes into structured job notes

What success looks like
* Systems are accurate, up to date and trusted

* Projects aren't held up by admin

* Payments and payroll run consistently

* Information is easy to find

* The Director and team aren't pulled into day-to-day admin

About you
* Experience in admin, operations or a similar role

* Strong attention to detail

* Comfortable working in systems and following processes

* Confident with basic finance/admin tasks

* Highly organised and reliable

* Able to work independently

* Construction experience is a bonus

* Wunderbuild experience is highly regarded (but not essential)
