The Victorian Curriculum and Assessment Authority (VCAA) is a statutory body established under the repealed Victorian Curriculum and Assessment Authority Act ****, continuing under the Education and Training Reform Act ****.
About the Unit
The role is within the Communications Unit in the Corporate Services Division, which includes:
General enquiry service and the Post-Results and ATAR Service (PRAS)
Strategic communications – planning and implementing internal and external communication strategies
Publishing – content development, editing, design, desktop publishing, printing and distribution via the VCAA's print and digital channels
Digital communications – planning and technical development and maintenance of the VCAA's corporate website and intranet
Festival and Events – development and delivery of the VCE Season of Excellence Festival, VCE Leadership Awards, Plain English Speaking Awards, and other external and internal events
About the Area
The Festival comprises Top Talks at State Library Victoria, two exhibitions (Top Arts at the NGV and Top Designs at Melbourne Museum), Top Class performances and concerts at the Melbourne Recital Centre and other regional venues, Top Screen short film screenings at ACMI, and a literary publication for Top Scribe.
Role Purpose
Provide event coordination and high-level administrative support as part of the Festival and Events team.
Role Responsibilities
Support event delivery, including event and concert preparation, correspondence and data management.
Stakeholder engagement through written communications, in person, and by phone to ensure accurate and timely information.
Handle financial responsibilities such as raising purchase requisitions, paying invoices, adding suppliers, and maintaining accurate financial records.
Assist in drafting and developing templates and event collateral, both printed and online.
Support delivery of additional business priorities within the VCE Season of Excellence festival as required.
Contribute to a diverse, innovative, responsive, inclusive, safe workplace that reflects VPS values.
Additional Responsibilities
Provide expert advice and guidance to project teams for effective decision-making.
Contribute to program and project management approaches.
Offer strategic advice on Festival and Events projects to ensure coordinated delivery.
Prepare and dispatch invitations to audition to high-achieving performing arts students.
Liaise with project managers, admin assistants and contractors in the preparation, proofing and dispatch of letters, promotional material, tickets, programme and reports.
Coordinate performer schedules and communicate details to stakeholders.
Prepare and dispatch project correspondence and contracts post-auditions.
Support production of materials through editing and proofing drafts.
Assist in preparation of briefing documents, reports, correspondence, publications and promotional material.
Provide writing and editing support for outbound communication, including promotional materials and website content.
Develop and maintain databases to inform students of requirements, outcomes and instructions.
Maintain record keeping for payments to panel members and accompanists.
Assist with financial management tasks such as quotation preparation and invoice payments.
Assist with reporting preparation for events.
Gather and record data, maintaining accurate records.
Manage relationships with program and project stakeholders.
Provide information and communications to stakeholders.
Build and maintain good relationships across the Communications Unit and the wider VCAA.
Use appropriate purchasing processes in accordance with departmental policy.
Key Selection Criteria
Victorian Public Sector Values.
Specialist expertise in events, preferably within performing arts.
Project coordination skills: organization, prioritization, independent work and team collaboration.
Problem-solving abilities: analysis, solution development, stakeholder liaison.
Written communication: clear, concise, grammatically correct, appropriate style.
Stakeholder management: constructive issue resolution, satisfaction monitoring, value addition.
Conditions of Appointment
Employment conditions and working arrangements provided by the VCAA.
Appointment subject to satisfactory pre-employment check.
Probationary period may apply during the first year.
Induction and support programmes available.
