About the Role
As a key member of the team, you will report to an Assistant Secretary and play a pivotal role in ensuring the smooth operation of the branch.
Key Responsibilities:
* Act as the first point of contact, providing excellent customer service and support.
* Manage diaries, prioritise schedules, and coordinate meetings and appointments.
* Prepare and quality-assure correspondence and documentation to ensure accuracy and professionalism.
* Organise travel arrangements and supporting documentation, including itineraries and expense reports.
* Develop systems and procedures to enhance workflow efficiency and productivity.
* Liaise with internal and external stakeholders on branch matters, fostering strong working relationships.
* Maintain accurate records and ensure compliance with policies and procedures.
* Support branch administrative tasks, including leave registers and property management, to ensure seamless day-to-day operations.
Requirements
* Proven experience in a receptionist or executive assistant role, with a track record of delivering high-quality results.
* Strong written and oral communication skills, with the ability to communicate effectively with diverse stakeholders.
* Ability to prioritise, multi-task, and maintain attention to detail, with a focus on accuracy and precision.
* Proficiency in managing diaries, correspondence, and travel arrangements, with a keen eye for detail.
* Demonstrated ability to build productive working relationships, with a focus on collaboration and teamwork.
Qualifications
* Relevant experience in administrative or executive support roles, with a proven ability to adapt to changing priorities and circumstances.
