About the Opportunity
Omexom is seeking a full-time Business Unit Administrator to join our environmentally friendly, Smart Lighting and Sustainable Cities team in our Canberra office. This is a key support role, ideal for someone with experience in project administration or coordination—or for a detail-oriented professional who has supported teams in finance, procurement, data entry, or general office administration.
This is a dynamic and varied role reporting to the Business Unit General Manager of the ACT Business Unit, offering the opportunity to contribute meaningfully to our green projects and operations. Your Role & Key Responsibilities:
* Ensure compliance with internal procedures and policies
* Assist with reports, timesheets, and basic finance tasks (e.g. accounts payable/receivable)
* Coordinate meetings, prepare minutes, and perform general administrative tasks
* Maintain accurate data and documentation for contracts and projects
* Assist with incident reporting and compliance documentation and liaise with internal teams and external stakeholders
* Support client invoicing and variation tracking
* Coordinate training and maintain HR records
* Ensure documentation for compliance and audit requirements is current
* Assist with tenders, travel arrangements, and office supply management
* Monitor group communications and respond to inquiries
* Provide general support to the Business Unit Manager as required
To be successful, you will have:
* Friendly, proactive, and eager to learn with a "can-do" attitude
* Strong customer service focus and excellent communication skills
* Highly organized with good attention to detail
* Comfortable using Microsoft Office (especially Outlook, Excel, Teams)
* Able to learn new systems and processes quickly
* Basic understanding of finance and procurement is sufficient
* Able to manage multiple tasks and priorities in a busy environment
* Works well independently and as part of a team
* Customer service skills and experience
* Ability to work in a team environment and interact with a diverse group of people
