**The Role**
The People Branch and Organisational Design Branch are looking for an enthusiastic and organised individual to work as their Executive Support Officer, providing coordination, workflow management and administrative support.
The People Branch and Organisation Design Branch work in close collaboration to deliver human resources functions for the department, developing and implementing actions that make DEWR the 'department of great jobs' - where the way we work together is just as important as what we achieve.
The role works closely with a wonderful extended team of executive support professionals in our Corporate and Enabling Services Group, including:
- Executive Assistant to the Assistant Secretaries, People Branch and Organisation Design Branch.
- Office of the Chief Operating Officer.
- Office of the First Assistant Secretary, People and Communication Division and Chief People Officer
You will be an integral member of the People and Organisation Design executive team, coordinating correspondence, briefings and requests for input from the branches, including providing a high level of service to internal and external stakeholders.
**Duties and Responsibilities**
We are seeking a collaborative and motivated individual who thrives on planning how to get work done on time. You will coordinate the flow of tasks in and out of two branches making sure the right people have had input and checking the work for quality and completeness.
Duties include but are not limited to:
- Working closely with the Executive Assistant, provide a range of administrative support across two branches.
- Manage, quality assure and progress coordination requests often with limited timeframes for information for the Chief People Office, Chief Operating Officer and the Secretary.
- Using sound judgement, discretion and strong communication and negotiation skills, manage general enquiries and escalate sensitive or urgent requests appropriately.
- Seek clarification or further input from stakeholders to inform decision making by senior executives.
- Implement changes to products or work processes based on feedback to maintain or improve customer service standards.
- Draft meeting agendas, talking points, initial briefs, plans and relevant correspondence.
- Build relationships with internal and external stakeholders.
