Office Manager
The primary role of the Office Manager is to oversee and coordinate the day-to-day activities of the office.
* Manage the office's operational requirements, ensuring seamless execution of tasks.
* Assign print jobs to the Office Assistant, streamlining administrative processes.
* Assist in the development of project start-up documentation, guaranteeing a solid foundation for initiatives.
* Review, manage, and approve timesheets, maintaining accurate records and ensuring compliance with company policies.
* Establish and implement an onboarding process for new resources, fostering a smooth transition into their roles.
* Develop proficiency in budget management software, enabling effective financial planning and analysis.
* Collaborate with the Asset Manager to oversee assets and fuel cards, optimizing resource allocation.
* Serve as the point of contact for plant and equipment requirements, providing timely support and guidance.
* Develop and maintain comprehensive onboarding procedures for new team members, enhancing their integration into the organization.
* Oversee the management of Premier Jonas Budgeting Software, ensuring its optimal utilization and maintenance.
* Facilitate asset and fuel management, guaranteeing efficient use of resources.
* Process IT equipment requests and perform routine upkeep, maintaining a functional and modern technology infrastructure.
* Lead overhead budget management, analyzing and optimizing expenditures to achieve fiscal efficiency.
* Process accounts, managing transactions and maintaining accurate financial records.
* Create purchase orders for overhead expenditure, streamlining procurement processes.
* Oversee subscriptions, contracts, and general maintenance of the office, ensuring continuity and stability.
* Manage resource allocation, effectively distributing personnel and assets to meet business needs.
* Maintain training registers and arrange training sessions as necessary, enhancing staff competencies and knowledge.
* Support corporate procedures and ISO adjustments, ensuring compliance with regulatory requirements.
* Assist with accreditation audits as needed, providing expertise and guidance throughout the process.
* Support tender lodgements as required, contributing to the development of successful bids and proposals.
